Terms and Conditions for Private Events

  1. Minimum charge for any private event is £500. This will apply regardless of final head count or any other conditions.

  2. Quotations In our initial quotation, we may quote a price per person, as we understand that numbers for events can be fluid. However, in all instances the minimum charge indicated above will apply, even where the price per person multiplied by the total number of attendees is less than the minimum charge indicated above. Our initial quotation will outline either the basic cost per person or per event (with the maximum possible number of attendees indicated), as well as the cost of a range of optional extras. On further discussion of your requirements, we may supply further iterations which will include any optional extras you have selected. You will be provided with a final quotation prior to any request for payment.

  3. Quotation structure – drinks allowance Your quotation may include drinks spent, as a certain percentage of the quoted total. This is a “use it or lose it” allowance; your final bill will not be adjusted in the event that you do not use the total allowance. At your event, we will keep you or a nominated representative informed of the balance of your drinks. Should you exceed this allowance, payment for the additional spend will be due at the end of the event by debit or credit card. We will only be able to invoice for any additional drinks if such an arrangement has been agreed in advance.

  4. Payment To secure a booking you are required to pay the full balance for the events given in the final iteration of your proposal. Transaction can be made via our website through Stripe, which accepts all major debit and credit cards. We also accept bank transfers.

  5. Cancellation Should you wish to cancel your event, please notify us in writing (by email) as soon as possible. Your payment will be refunded in full if the event is cancelled with at least seven full calendar days’ notice. A 50% cancellation fee will be retained if the event is cancelled with more than five full calendar days’ notice. Please note that there is NO REFUND for the cancellation less than five days’ notice.

  6. Changes to head count We are committed to being as accommodating as possible to changes in the headcount of your event. However, as such, any changes to head count are subject to the following conditions.

Terms and Conditions for Private Events – count.

a) Reductions In the event that you wish to reduce the head count for your event, you must advise us of this no later than seven full calendar days before the event (i.e. if your event is at 7pm on a Tuesday night, you must inform us no later than 7pm on the preceding Tuesday). Notice of any change must be given in writing (by email) to the event coordinator with whom you have been liaising. Failure to give this notice will mean that we will not be able to adjust the cost of your event. If your request to reduce the head count is received more than seven full calendar days before the date of the event, we will be able to adjust the cost accordingly.

Please note however that there is a minimum charge of £500 per event, and this will apply regardless of any reductions in head count.

Please also note that if you have been provided with a quote which indicates that the quoted cost is for an event for “up to” a certain number of people, we will not be able to make any adjustments to the cost as a result of reductions to head count.

b) Additions In the event that you wish to increase the headcount for your event, ideally you should advise us of this no later than three full calendar days before the event. Notice should be given in writing (by email) to your event coordinator. If adequate notice is not given, it may not be possible to secure enough supplies for the additional attendees. In such an instance, your event coordinator will discuss with you how to proceed: e.g. attendance without participation in the cookery class, sharing of cooking stations, drinks only. Space may be limited depending on your chosen venue. If it will not be possible to accommodate increases to your head count, you will be advised of this in advance. Sozai does not guarantee that any additions to the head count will be possible at any time. Additional attendees, where accepted, will be charged at a rate to be advised by your event coordinator.

c) Changes to optional extras We are pleased to offer a range of optional extras designed to enhance your event. These will be outlined to you in our initial proposal. In the event that you wish to make changes to these optional extras, you must advise us of this no later than three full days before the event (i.e. if your event is at 7pm on a Tuesday night, you must inform us no later than 7pm on the preceding Saturday). Notice of change must be given in writing (by email) to your event coordinator.

Please note, above policy will apply to cancellations due to Covid19 as well. We will comply with all applicable health and safety legislation and appropriate UK Government guidance in relation to COVID-19 Working safely during COVID-19
